This Refund Policy outlines our terms for cancellations, rescheduling, and refunds for our photography services.
Please read this policy carefully before booking our services. By making a booking with Even Framework, you agree to the terms of this Refund Policy.
1. Deposit and Payment Terms
1.1 Booking Deposits
When you book a photography session with Even Framework:
- A non-refundable deposit of 30% of the total session fee is required to secure your booking date and time.
- Your booking is not confirmed until we receive both your signed contract and the deposit payment.
- The deposit is applied toward your total session fee.
1.2 Payment Schedule
The payment schedule for our services is as follows:
- Portrait, Family, and Commercial Sessions: The remaining balance is due on the day of the session before photography begins.
- Wedding Photography: 50% of the remaining balance is due 90 days before the wedding date, with the final balance due 14 days before the wedding date.
- Event Photography: The remaining balance is due 7 days before the event date.

We accept the following payment methods:
- Credit and debit cards
- Bank transfers
- PayPal
2. Cancellation Policy
2.1 Client Cancellations
If you need to cancel your photography session:
- Standard Sessions (Portraits, Family, Commercial):
- Cancellations made 14 or more days before the session: The deposit is non-refundable but can be applied to a rescheduled session within 6 months of the original date.
- Cancellations made 7-13 days before the session: 50% of the total session fee is due.
- Cancellations made less than 7 days before the session: The full session fee is due with no refund.
- Wedding Photography:
- Cancellations made more than 6 months before the wedding date: The deposit is non-refundable but can be applied to another service within 12 months.
- Cancellations made 3-6 months before the wedding date: 50% of the total fee is due.
- Cancellations made less than 3 months before the wedding date: The full fee is due with no refund.
- Event Photography:
- Cancellations made more than 30 days before the event: The deposit is non-refundable but can be applied to another service within 6 months.
- Cancellations made 14-30 days before the event: 50% of the total fee is due.
- Cancellations made less than 14 days before the event: The full fee is due with no refund.

2.2 Photographer Cancellations
In the rare event that Even Framework needs to cancel a session:
- We will make every effort to notify you as soon as possible.
- We will offer to reschedule your session to the next available date that works for both parties.
- If rescheduling is not possible or desired, we will provide a full refund of all payments made, including the deposit.
- In case of serious illness, injury, or other circumstances beyond our control, we reserve the right to arrange for a substitute photographer of comparable skill and experience.
3. Rescheduling Policy
3.1 Client-Requested Rescheduling
If you need to reschedule your photography session:
- Standard Sessions (Portraits, Family, Commercial):
- Rescheduling requests made 14 or more days before the session: No fee will be charged, and your deposit will be applied to the new date.
- Rescheduling requests made 7-13 days before the session: A rescheduling fee of £50 will apply.
- Rescheduling requests made less than 7 days before the session: A rescheduling fee of £100 will apply.
- Wedding Photography:
- Rescheduling requests made more than 6 months before the wedding date: No fee will be charged, and your deposit will be applied to the new date (subject to availability).
- Rescheduling requests made 3-6 months before the wedding date: A rescheduling fee of £200 will apply.
- Rescheduling requests made less than 3 months before the wedding date: A rescheduling fee of £500 will apply, and the new date is subject to availability.
- Event Photography:
- Rescheduling requests made more than 30 days before the event: No fee will be charged, and your deposit will be applied to the new date.
- Rescheduling requests made 14-30 days before the event: A rescheduling fee of £100 will apply.
- Rescheduling requests made less than 14 days before the event: A rescheduling fee of £200 will apply.

3.2 Weather-Related Rescheduling
For outdoor sessions affected by weather conditions:
- The decision to reschedule due to weather is at the photographer's discretion.
- If we determine that weather conditions are unsafe or would significantly impact the quality of your images, we will contact you to reschedule at no additional cost.
- Weather-related rescheduling does not incur any fees, regardless of the timing of the decision.
- Light rain or overcast conditions are not typically grounds for rescheduling as they can often produce beautiful, soft lighting for photographs.
4. Refund Conditions
4.1 Eligible Refund Scenarios
We may issue refunds in the following circumstances:
- If Even Framework cancels your session and rescheduling is not possible or desired.
- If we fail to deliver the services as contractually agreed due to our error or oversight.
- If there is a significant and demonstrable quality issue with the final delivered images that cannot be resolved through editing or reshooting.
4.2 Non-Refundable Items
The following are not eligible for refunds:
- Booking deposits (except in cases where we cancel).
- Cancellation fees as outlined in Section 2.1.
- Additional products or services that have already been ordered or produced (such as prints, albums, or custom edits).
- Travel expenses incurred for on-location sessions.
4.3 Subjective Dissatisfaction
Refunds will not be issued based solely on subjective preferences regarding:
- Artistic style, as examples of our work are available on our website and social media.
- Specific poses or compositions, as we work with you to capture the best possible images but cannot guarantee specific shots.
- Personal appearance in photographs (e.g., not liking how you look in photos).
5. Refund Process
5.1 How to Request a Refund
To request a refund:

- Include your name, session date, and a detailed explanation of why you are requesting a refund.
- Provide any relevant documentation or evidence to support your request.
- Submit your request within 14 days of the session date or receipt of final images, whichever is later.
5.2 Refund Processing Timeline
When a refund is approved:
- We will process the refund within 10 business days of approval.
- Refunds will be issued using the same payment method used for the original transaction when possible.
- Credit card refunds may take an additional 3-5 business days to appear on your statement, depending on your financial institution.
5.3 Partial Refunds
In some cases, we may offer partial refunds:
- If only part of the service was not delivered as agreed.
- If some aspects of the service met expectations while others did not.
- As a goodwill gesture in situations where a full refund is not warranted but we acknowledge some aspect of your experience did not meet our standards.
6. Special Circumstances
6.1 Force Majeure
In the event of circumstances beyond our control (such as natural disasters, power outages, venue closures, serious illness, or pandemic restrictions):
- We will work with you to reschedule the session to the next available date that works for both parties.
- If rescheduling is not possible within 12 months of the original date, we will issue a credit for the full amount paid, which can be applied to any of our services within 24 months.
- If neither rescheduling nor credit is acceptable, we may offer a partial refund at our discretion, taking into account any non-recoverable expenses we have incurred.
6.2 Client Illness or Emergency
If you or a key participant is unable to attend due to a serious illness or emergency:
- Provide documentation of the emergency or illness (such as a doctor's note).
- We will waive rescheduling fees and work with you to find a new date.
- If the session cannot be rescheduled within 6 months, standard cancellation policies will apply, though we may make exceptions on a case-by-case basis.
7. Additional Products and Services
7.1 Print Orders and Physical Products
For print orders, albums, and other physical products:
- Orders for prints and products are final once submitted for production.
- If products arrive damaged or with manufacturing defects, we will replace them at no additional cost.
- If you wish to cancel an order before production begins, a 15% administration fee will be deducted from any refund.
7.2 Digital Products
For digital files and editing services:
- Once digital files have been delivered, they are considered final and are not eligible for refunds.
- Minor retouching requests (such as skin smoothing, blemish removal, or basic color adjustments) are included in our standard service.
- Extensive editing or special effects requested after approval of final images may incur additional charges.
